Inbox Overview

How to Manage Conversations at Scale

Written by Teodora Kostichevska

The Inbox is a centralized place that brings together all LinkedIn conversations from your connected accounts into one unified view.

It allows teams to manage outreach efficiently without switching between multiple LinkedIn profiles or browser tabs. The Inbox is available to all users within the workspace.

How the Inbox Works

The Inbox displays all LinkedIn conversations in a single space, regardless of which LinkedIn account they originate from.

This creates a streamlined messaging experience and makes it easier to:

  • Monitor replies

  • Respond faster

  • Manage conversations across multiple accounts

The Inbox integrates fully with Leads CRM, so you can access lead data and management tools directly while chatting.

Filtering Conversations

To help you stay organized at scale, the Inbox includes advanced filtering options.

You can filter conversations by:

  • LinkedIn account
View conversations from specific accounts only

  • Campaign source
Show conversations initiated through a specific campaign

  • Lead labels
Filter conversations based on labels you’ve assigned

These filters are especially useful when managing multiple profiles, campaigns, or audience segments.

Notes & Labels

While chatting with a lead, you can easily:

  • Add internal notes for context or follow-ups

  • Apply or remove labels to categorize the lead

Notes and labels help teams collaborate, retain context, and track next steps all without leaving the conversation view.

Privacy & Workspace Roles

For teams working with multiple LinkedIn accounts, the Inbox includes role-based privacy controls.

When inviting members to a workspace, you can define page-level permissions that determine access to the inbox. If you need to restrict access to a single campaign, the campaign must be placed in a separate workspace, and the user added to that workspace. Note that creating a separate workspace requires its own subscription or plan.

Access Levels

  • Full inbox access Users can view and respond to all conversations across the workspace, including those sent manually from LinkedIn.

  • Limited inbox access Users can only see conversations related to campaigns. They cannot access:

    • Private conversations from the LinkedIn account

    • Older conversations not linked to a campaign

  • No inbox access Users do not have access to the inbox page

This setup allows SDR or outreach teams to connect accounts without exposing unrelated or personal conversations. Workspaces are particularly useful for managing virtual assistants (VAs) or team members who require limited access to specific campaigns or accounts.

Inbox Features

The Inbox supports rich messaging to improve communication quality, including:

  • File attachments

  • Voice notes

  • Emojis

  • Dynamic variables (such as first name, last name, role, or location)

These features help keep conversations personal, efficient, and engaging.

Summary

The Inbox simplifies LinkedIn outreach by:

  • Consolidating conversations across accounts

  • Integrating directly with Leads CRM for full context

  • Offering filters, notes, and labels for better organization

  • Enforcing privacy through role-based access

  • Supporting attachments and voice notes for richer communication

It’s designed to help teams manage conversations efficiently - without losing context or control.
