How to use Lead lists in Aimfox

Build reusable lead lists, combine multiple lead sources, and keep your campaigns supplied with new leads.

Lead lists let you organize leads in one place and use them across multiple campaigns. You can combine LinkedIn searches, CSV files, event attendees and more in the same list, then choose that list when setting up a campaign.

What is a Lead list?

A Lead list is a reusable collection of leads. Previously an audience belonged to one campaign. Now your leads exist separately from the campaigns that use them.

This means you can:

  • Combine several lead Sources in one list.

  • Use the same list across multiple campaigns, including at the same time

  • Add more Sources as your targeting needs grow

  • Organize lead information with custom variables

  • Bring new leads in automatically with auto-updating Sources

Example: You could combine two LinkedIn searches, a CSV file, and people who engaged with a LinkedIn post into one list, then use that list for your outreach campaigns.

You manage your lists from the Lead lists page in your workspace.

Create or choose a list for your campaign

  1. Go to Campaigns and start creating a new campaign.

  2. Choose the campaign type and enter a campaign name.

  3. Select Use an existing list to work with a list you already have, or Create a new list to build one without leaving the campaign setup

  4. Continue through the setup, choosing your worker accounts, outreach type, and lead exclusion filters

  5. Finish configuring your campaign.

Every campaign runs on exactly one Lead list, and a list can have any number of campaigns running on it.

Combine multiple lead sources

A single list can contain leads from several sources, such as:

  • LinkedIn Search

  • Sales Navigator

  • Post engagement

  • Event attendees

  • Group members

  • CSV file

  • A connected CRM such as Instantly, EmailBison and Smartlead

  • Your own Contacts

Aimfox collects leads from the sources you add and brings them together in the same list. You can add multiple searches or posts rather than creating a separate campaign for every source.

You can also create multiple LinkedIn searches with different accounts to collect highly targeted leads from the same niche into one list.

What happens if the same lead appears in several sources?

Aimfox automatically deduplicates leads within a list. If the same person appears in more than one source, they are combined into a single lead entry.


If the two Sources disagree on a variable value, the older Source wins - so a CSV you upload today won't overwrite a custom variable that came from a Source you added last month.

Note: Deduplication within a list is separate from campaign targeting controls. Review your campaign exclusion filters when reusing a list across campaigns.

Auto-update your lists

Auto-updating lets Aimfox check a Source again on a schedule and bring in newly found leads to the list.

To turn on auto-updating, select the Source in your list and choose how often it should refresh. Aimfox uses the account assigned to that Source to collect new results.

Campaigns stay in sync with their list, so anyone a Source brings in is picked up automatically by the campaigns running on it. An auto-updating Source keeps new leads flowing into your outreach without you creating a new campaign each time.

Add custom columns and variables

While the system automatically populates LinkedIn data such as Current Company, Occupation or Language, you can also add and manage your own custom variables directly inside your list.

Use the + next to Columns to add a new column when you need an additional custom variable. This gives you a place to organize lead-specific information alongside the profile data collected by Aimfox.

Custom variables imported from a CSV file appear here too, and you can use any of them in your messages.

Custom variables are the only lead data you can edit manually. All LinkedIn data pulled by Aimfox is automatically updated so, there's nothing for you to maintain.

On the other hand - Labels and notes work on Contacts, not leads. Contacts are people you're connected with or in an active conversation with, accesirather than on leads in a list.

Manage leads with removal and blacklisting

Sometimes, you will want to make sure certain people are kept out of your outreach campaigns. You can easily do this with Removing and Blacklisting leads. Removing is a list-level, and blacklisting is workspace-level.

You can access the workspace blacklist from the Campaigns page.

Removing a lead from one list does not blacklist them across your workspace.

Cancelling is permanent. You can Restore a removed lead to the list, and you can take someone off the blacklist, but neither puts them back into a campaign they were already cancelled from. They would need to go into a new campaign.

If you blacklist a company, everyone who works there is blacklisted too, and this automatically updates as people change jobs.

Use lists with continuous campaigns

Campaigns work with leads from their selected list. When new leads are added to that list, the connected campaign can pick them up for outreach.

Combining a continuous campaign with an auto-updating LinkedIn search helps keep new leads flowing into your outreach without creating a new campaign each time.

New leads remain subject to your campaign’s targeting and exclusion settings.

Avoid unwanted overlap between campaigns

Because several campaigns can use the same list, check the Exclude leads filters during campaign setup:

  • In active campaign - exclude leads that are currently in an active campaign

  • Previously targeted - exclude leads targeted before

  • No profile photo - exclude leads without a profile photo

Enable the relevant filters when you want to avoid overlapping outreach or retargeting previously contacted leads.

Notes

  • Deleting a Source removes its leads from the list and cancels them in any campaign. Anyone who also came from another Source on that list stays.

  • You can't delete a Lead list while campaigns are still running on it. Delete those campaigns first.

  • The Leads page is now called Contacts. It holds the people you're connected with or in conversation with, which is separate from your Lead lists.
